Seasonal Sporting Facilities Allocation

Allocation Process

Council allocates sporting fields, courts and cricket nets on a seasonal basis.

Expressions of Interest (EOI) will be sought for the hire of playing surfaces twice a year. Summer EOI opens in April and winter EOI opens in October.

The summer season runs from the second Saturday in September through to the second Sunday in March.

The winter season runs from the last Saturday in March through to the last Sunday in August.

Allocation of playing surfaces will be based on EOI's completed in full and submitted before the cut-off date. Any EOI received without insurance or registration data (in the requested format) will not be considered for allocation of sporting facilities.

Council is responsible for the preparation of the turf cricket wickets at Sutherland oval 1, Glenn McGrath oval (Caringbah oval) and Tonkin oval. Turf wicket preparation works will be undertaken 5 weeks prior to the commencement of the grade cricket season and turf fields will be made available 3 weeks after the conclusion of the grade cricket season to winter codes.

Floodlight timers are set 4 times a year at no charge, once for each season and once for each daylight saving time change. Any request for change in floodlight timers by clubs will incur a fee. All usage charges of the floodlight will be on charged to the club.

Grading Days

Council understands that grading of players is an important process for all sporting codes.

EOI will be sought for the hire of playing surfaces to run grading days where ground conditions are acceptable, the 'in-season' sport does not require the use of the facility and maintenance activities are not programmed.

Where a field is unavailable Council will work with the club to ensure an alternative location is allocated.

Preseason Training

EOI will be sought for the hire of playing surfaces for preseason training where ground conditions are acceptable, the 'in-season' sport does not require the use of the facility and maintenance activities are not programmed.

Summer preseason EOI opens in July and the winter preseason EOI opens in January.

The summer preseason runs from the third week in August until the commencement of the summer season.

The winter preseason runs from the first week in March until the commencement of the winter season.

Clubs may apply for a maximum of 3 sessions per week with a maximum of 3 hours per session, excluding Monday's. Where a field is unavailable Council will work with the club to ensure an alternative location is allocated.

Trial Matches

EOI will be sought for the hire of playing surfaces for trial matches where ground conditions are acceptable, the 'in-season' sport does not require the use of the facility and maintenance activities are not programmed.

Clubs may apply to host trial matches within the two weeks leading into the upcoming season. Where a field is unavailable Council will work with the club to ensure an alternative location is allocated.

Sport Clubs Presentation Days

Clubs that wish to hold their presentation day on Sutherland Shire Council sporting fields are required to complete the event application form at a minimum of 8 weeks prior to the event.

To apply for the use of a sporting field please complete the Sutherland Shire Event Application Form.

Clubs will be require to:

  • Attach a copy of the club's Public Liability Insurance, Certificate of Currency, with Council listed as an 'interested party'
  • Attach a site map including the location of any temporary structures and amusements, vehicle movements, power sources and amenities (bins and toilets)
  •  A completed risk management plan for the event
  • If amusements are being used, please provide a copy of the Registration Certificate provided by SafeWork NSW.

An event application fee is applicable to all sport club presentation days. Additional fees may be charged to the club for additional cleaning services, bins, floodlight timer changes etc.. if required.

The events team will assess the application and confirm dates with Sport Services. Please ensure all documentation is submitted to avoid delays in processing the event application. Once approved the club will receive a permit for the event.

Fields excluded from sporting presentation days are Glenn McGrath oval (Caringbah oval), Tonkin oval and Sutherland oval 1.
