Terms and conditions of hire

Advice for hirers

1. A booking contract will be issued to the hirer and must be signed and returned to the Sutherland Entertainment Centre along with a minimum non-refundable deposit of $750.00 per function per day for the auditorium or $250.00 per day for the Rainbow Room.

2. In the event of cancellation, a deposit refund (less administrative charges including applicable GST) will be given only when a similar income function is secured by the centre in place of the cancelled function. Any refund amount is decided upon arbitrarily by the Sutherland Entertainment Centre manager and is not subject to negotiation.

3. Auditorium hire rates include one technician for seven and a half hours per day, not including a minimum half-hour meal break. An appropriate pause in proceedings must be scheduled to ensure the duty technician has the opportunity for a meal break after a maximum of five hours. After seven and a half hours, a charge of $50.00 per hour will apply for each hour or part thereof.

4. The hirer must provide, on request, written evidence of public liability insurance cover of not less than $10 million, noting Sutherland Shire Council's interest. Access will be denied if this condition is not met.

5. Production consultancy and design is charged additionally, depending on client requirements. If your production requires extra production staff, a charge of $50.00 per hour will be applied. Please enquire at the time of booking. The Sutherland Entertainment Centre staff members are always in charge of activity within the centre.

6. Four-hour rehearsal rentals include fixed work lights, a CD player and one announcer's microphone. Where a technician is required, the normal rate will apply.

7. Use of pianos is charged at $50.00 each per day. Our pianos are tuned on a regular basis. If the client specifies fine tuning on the day of an event, an additional $300.00 charge will apply.

8. Occupation of the building beyond midnight (including bump out) will incur additional charges at the rate of twice the applicable hourly rate.

9. In addition, Sutherland Entertainment Centre management reserves the right to engage and charge the client for security personnel to be in attendance when the building is occupied after midnight. This will be at the rate of a minimum four-hour call-out @ $50.00 per hour. This rate may increase on Sundays and public holidays.

10. The difference between the rate for local voluntary groups and the standard rate is provided in the form of a direct subsidy by the council. This subsidy is not available for auditorium hire on Saturdays unless a contract was signed at the subsidised rate prior to 3 August 2010. The subsidy is only available to approved recipients for a maximum of 10 days per financial year. Once that maximum of 10 days has been reached, any subsequent days booked will be charged at the standard rate.
11. An additional cleaning fee may be charged if deemed necessary.

12. A portable lift to provide stage access for wheelchairs is available. Arrangements for its use must be discussed with Sutherland Entertainment Centre management well in advance of the event as stage props and other equipment may interfere with its placement.

13. All activities within the Sutherland Entertainment Centre during the period of hire must comply with the provisions of the OHS & R Act 2000 and the OHS & R Regulations 2001.

14. To comply with occupational health and safety and the Sutherland Entertainment Centre Evacuation Plan, two ushers/safety attendants are included for each concert or theatre-style event. These staff members do not negate the need for a normal complement of ushers. Please enquire when booking.

15. Due to safety requirements, hirers utilising their own ushers must ensure all ushers attend the safety briefing conducted by the Sutherland Entertainment Centre duty manager one hour prior to a performance. If the ushers are minors they must be fully supervised by a competent adult.

16. All portable electrical equipment brought onto the premises must be tested and tagged in accordance with Australian Standard/NZ 3760.2000.

17. Hirers must subject inflammable materials brought onto the premises to appropriate anti-fire treatment. Relevant licences must be obtained by the hirer for use of pyrotechnics with prior permission sought from management for the use of pyrotechnic devices within the building.

18. Clients must not exceed authorised venue capacity and must abide by health and safety regulations, including those pertaining to consumption of alcohol in the work place.

19. The Sutherland Entertainment Centre is fully licensed and hirers are not permitted to bring alcoholic beverages onto the premises.

20. For safety reasons, prams and strollers are not permitted within the theatre at any time.

21. Blocking aisles or passageways with equipment (including video) or by sitting in them is not permitted at any time.

22. Rates and conditions of hire alter infrequently but can change without notice.

23. The Sutherland Entertainment Centre may exercise discretion in acceptance of bookings and may negotiate additional conditions of hire. An additional cleaning fee may be charged where deemed necessary.

24. The client will ensure all necessary performing rights and licences have been obtained prior to any performance(s).

25. The council is not responsible for any loss or damage to any property belonging either to the hirer or any person attending the function.

26. Clients placing deposits are considered to have accepted the preceding advice to be the conditions of engagement.
